Record screen with voice in Google Sheets, step by step
To record screen with voice in Google Sheets, open the sheet in its own Chrome tab, share only that tab, tick your microphone and press Start recording. You get an MP4 with your narration on your own computer. For a shorter walk through the whole job, read the post on recording a spreadsheet tutorial video with your voice in Chrome. This article adds how to talk about cells so a viewer can follow you.
Cheap Recorder runs in Google Chrome and records your screen and voice as one MP4 with a transcript, with nothing to install, so a spreadsheet lesson takes one session in a single tab.
Why spreadsheet recordings go wrong
A sheet is hard to film casually. Cells are small, the cursor jumps, and a viewer cannot tell which cell you mean unless you say it. Most failed takes share three causes:
- You shared the whole screen, and a chat notification or a private tab ended up in the file.
- The wrong microphone was ticked, or it was muted, and you found out ten minutes in.
- You talked faster than the mouse moved, so your voice described a cell the viewer had not seen yet.
All three are fixed before you press record.
What you need before you start
You need Chrome on macOS, Windows or Linux, a microphone and a folder for the file. The Free plan covers this: recording, live transcript and captions, and 12 hours of recording a month, with no card needed.
If Start recording is greyed out, read the words beside it. A common one is choose a folder first. Press Choose folder..., pick where recordings go and allow Chrome to edit files there. The recorder does not remember the folder between visits, so you pick it each time.
Then open Change or add microphones in the Microphone tile, tick the one you speak into and press Rescan if you just plugged it in. While you record, each ticked microphone has a level bar that moves with your voice. If it sits still while you talk, check the microphone's own mute switch.
Set up a clean practice sheet and share only that tab
Do not narrate over your real work file. Make a practice copy with fake numbers, close other sheets and hide anything with names, pay or client data.
Under What to capture choose A browser tab, pick the Sheets tab in Chrome's sharing box and press Share. Sharing one tab keeps your other tabs and apps out of the file, but everything on that tab is recorded, so close side panels you do not need. You do not need tab audio: your voice comes from the microphone, and a sheet rarely plays sound.
Leave the tab open for the whole take. Chrome's own Stop sharing bar finishes the recording, so end it with Stop and finish instead.
Record screen with voice in Google Sheets: the steps
- Name the recording. The name becomes the file and folder name, so
Sheets SUMIF 01keeps a series in order. Left empty, it is called Recording. - Check Options. Live transcript is ticked by default. Choose the language before you start; the menu goes back to its default each time the page opens.
- Decide on the webcam. For a sheet, many people switch Record my webcam off so the cells fill the picture. If you keep it on, Picture in picture puts the camera at the bottom right by default.
- Record a 30 second test. Say a sentence, stop and play it back. This catches a wrong microphone before it costs a full take.
- Press Start recording, narrate, then press Stop and finish.
Zoom in and name every cell out loud
The recording shows what is on the tab, so readability is up to you. Before you start, zoom the browser in until the formula bar and cell text are easy to read, because a viewer on a laptop or phone sees them smaller than you do.
Then say where you are before you act. Here is a narration for one formula, using made-up numbers:
"I am clicking cell E2 in the Summary tab. This is where the total for rent goes. I type equals SUMIF, open the bracket and select column B for the category. Now a comma, and I click cell A2, which says Rent. The formula bar shows the whole thing. Press Enter, and E2 now shows 1,200."
Name the cell, say the action, then show the result. Pause a second after each Enter. Pauses cost nothing and make the next step easier to follow.
For a lesson with sections, press M or Add marker at the start of each one. With the default single MP4 the marker notes show while you record but are not saved, so jot down any times you need. They are written to a list and a chapters file only if you tick Also save every source separately.
Check the transcript before you share
After Stop and finish, the recording appears on the page with a player and is already in your folder. Open the Transcript fold and read it while the video plays. Speech recognition slips on cell references, function names and column headings, and it works from your microphone, so a headset or a desk microphone near your mouth beats a laptop microphone in a noisy room.
You can click any word in the transcript to cut it, and Remove filler words marks ums and ahs on plans that include it. Know what this changes: in a normal one-file recording, cuts change the transcript and captions, not the MP4. For a cut video you need Also save every source separately (Creator and up), then Apply edits and rewrite files, then bash finalise.sh in the Separate sources folder with ffmpeg installed, which writes demo.mp4. Word timings are estimates, so watch the result first. The filler words guide has the details.
One privacy detail: while Live transcript is on, Chrome sends your microphone audio to Google to turn it into text. If the audio must not leave your computer in any form, untick Live transcript before you press Start recording. A transcript cannot be added afterwards.
Where the file goes and how to send it
Each recording gets its own folder named from your recording name and the start time. Inside are the MP4, for example Sheets SUMIF 01.mp4, and a plain text transcript with the time of each line. Caption files are not saved in the folder: press Captions .srt on the card to download one, and do it before you close the tab, because the card lasts only while the recorder page is open. Cheap Recorder does not upload your recordings, except when you use Convert or Download MP3, which send the file to its server to be converted and delete it there afterwards. The where recordings are saved guide shows the folder layout.
The MP4 is an ordinary file, so email it, put it in a shared drive or upload it to your course platform with the .srt beside it. For a whole series, read the course and tutorial guide, and for the one-take habit, voiceover for a screen recording.
Frequently asked questions
Can I record my voice while sharing only a Google Sheets tab?
Yes. Choose A browser tab under What to capture, pick the Sheets tab in Chrome's sharing box and tick your microphone. Your voice comes from the microphone, so you do not need tab audio.
Why is there no sound in my recording?
Most often the wrong microphone is ticked or it is muted. Watch the level bar while you talk and record a 30 second test first. The no sound guide lists the other causes.
Does cutting words in the transcript shorten the video?
Not in a normal one-file recording. Cuts change the transcript and captions only. For a shortened video, tick Also save every source separately before recording and run bash finalise.sh afterwards.
Is the Free plan enough for a Sheets tutorial?
For recording with a live transcript and captions, yes: the Free plan has 12 hours of recording a month and needs no card. Saving every source separately is on Creator and up.
